Booking Process and Payment Terms

To secure your event equipment, a confirmed booking and deposit are required. We streamline this process to be as straightforward as possible, ensuring you understand every step and commitment.

  • Confirmation & Deposit: A 25% non-refundable deposit is required at the time of booking to confirm your reservation. This secures your chosen equipment and date.
  • Payment Schedule: The remaining 75% balance is due 30 days prior to your event date. For bookings made within 30 days of the event, full payment is required at the time of booking.
  • Accepted Methods: We accept bank transfers, major credit/debit cards, and PayPal. All payments are processed securely.
  • Pricing & Quotes: All quotes are valid for 14 days from the date of issue. While we strive to maintain consistent pricing, unforeseen circumstances may necessitate adjustments; any changes will be communicated promptly.

A detailed invoice will be provided upon booking confirmation, outlining all items and payment due dates.

Cancellation and Event Modification Policies

We understand that plans can change. Our flexible cancellation and modification policies aim to accommodate unforeseen circumstances while ensuring fairness to all parties.

  • Cancellation Notice:
    • More than 60 days before event: Full refund minus non-refundable deposit.
    • 31-60 days before event: 50% refund of total payment made (excluding deposit).
    • Within 30 days of event: No refund on total payment.
  • Event Modifications: Changes to dates, locations, or equipment are subject to availability and may incur additional charges. Requests must be submitted in writing at least 45 days prior to the original event date.
  • Weather & Force Majeure: In the event of severe weather or 'force majeure' beyond our control, we will work with you to reschedule or provide suitable alternatives. Refund possibilities will be assessed on a case-by-case basis.

Refunds, where applicable, will be processed within 14 business days to the original payment method.

Delivery, Setup, and Collection Terms

Our dedicated team ensures timely delivery, professional setup, and efficient collection of all equipment, making sure your event runs smoothly from start to finish.

  • Delivery Scheduling: We coordinate precise delivery and collection windows with you and your venue. Standard delivery is scheduled for the day before your event, with collection the day after.
  • Setup & Installation: Our expert crew will professionally install all hired equipment as agreed in your rental contract. Please ensure the site is clear and accessible prior to our arrival.
  • Venue Access: Customers are responsible for ensuring adequate access to the venue, including any necessary permits or permissions for our vehicles and equipment.
  • Equipment Acceptance: Upon setup completion, a representative for your event must be present to inspect and sign off on the equipment to confirm it meets your expectations and is in good condition.
  • Collection: Equipment must be left in the condition it was delivered, accessible for our team at the agreed collection time. Any items requiring excessive cleaning will incur an additional fee.

Clear communication with your venue coordinator is essential for seamless logistics.

Liability, Insurance, and Damage Policies

We prioritize safety and accountability. Our policies clearly define responsibilities regarding equipment liability, insurance coverage, and handling of potential damages.

  • Customer Liability: You are responsible for the rented equipment from the time of delivery until collection. This includes protection against theft, loss, or damage during your rental period.
  • Insurance Coverage: ThistleMoor Events holds public liability insurance. We strongly advise clients to arrange event insurance that covers rented equipment against unforeseen circumstances.
  • Damage Assessment: Any damaged or lost equipment will be assessed upon collection. Repair or replacement costs will be charged to the client at the current market rate.
  • Safety Compliance: Clients must adhere to all safety guidelines provided for the equipment. Misuse of equipment or failure to follow safety instructions may void aspects of our liability.
  • Dispute Resolution: In the rare event of a dispute, we commit to fair and prompt resolution through direct communication or, if necessary, an agreed mediation process.
